Tariff Management
The supplier platform allows for purchase tariffs to be set up. Each Tariff Reference Number should be unique, and these will be shared with the Scheme Operator for when they set up your buying tariffs on their side of the system. The 1link system will use the tariff reference to compare the buying prices when booking requests are sent by the scheme operator. You will see any discrepancy on screen and be able to pick which tariff you confirm the booking against, the Scheme Operator tariff or your own.
Tariffs will cover your daily rates for hire for each hire group and any additional charges for that tariff, e.g. additional driver costs, delivery and collection fees and fuel, etc. The details should match those supplied to the Scheme Operator to ensure the minimum of invoice queries.
Tariffs can be complex to set up and maintain, and you should set them up initially with the assistance of your epyx Project Manager. You do not have to set up tariffs on the supplier side, however not doing so could lead to bookings being processed at incorrect rates if buying tariffs are incorrect at the Scheme Operator end.
Grace Minutes can be used to indicate the number of minutes allowed for ‘late’ return of a hire. Should the hire be returned after the agreed end date and time, the system adds these grace minutes to prevent an additional day’s rental charge being applied.
Insurance Inclusive is used to indicate whether insurance costs are included within the daily rental figures. If this is set to ‘Yes’, you should include insurance as part of your daily rental rates and Scheme Operator’s will be able to place hires using your insurance.
If you have any branches defined as Premium Locations, you can set the Premium Location Uplift % on the tariff record. This percentage is applied to the daily rental rates whenever a booking is placed for a branch that is flagged as a premium location.
The RFL Days Cap per 28 Day Period is where you can control the number of days that are charged on the sales invoice for a 28-day invoice. Traditionally RFL is only charged for 20 days on a 28-day invoice.
The Tariff Periods are the agreed periods for which a given basic rental rate applies. The rental rates are entered in the section underneath the tariff periods.
The daily rental rates can be set for each hire group, along with any charge rates for CDW (Collision Damage Waiver) as well as Excess Mileage charges and allowance. The daily rates you enter are split into columns which refer to the tariff periods set. The CDW charge is a daily rate which can be added to bookings placed by the Scheme Operator when the Insurance Inclusive option is used.
Excess mileage is calculated as the mileage allowance multiplied by the number of days of the hire. This figure is subtracted from the actual mileage driven — as set in the odometer readings within a rental agreement — and the resulting figure (if positive) is multiplied by the excess mileage rate per mile.
There is an audit link at the bottom of each tariff which records when the tariff was created, any changes made to the tariff, and which user made them. You also have options at the bottom of the page to copy the tariff or create a future price update to the tariff.
- Copy Tariff creates a new tariff that should use a new tariff reference, so as not to copy over an existing tariff.
- Future Price Update creates a new tariff with the same reference but with a new effective date. This allows price increases to be pre-loaded and automatically come into effect on the effective date.
Both copy tariff and future price update give the user the option to apply a percentage mark-up to the costs, be it to all prices, daily rental rates only or for the daily tariff banding. The new tariff created will have these costs applied automatically but can be amended before saving.
Uplifts entered in the Daily Rental Mark-up area will be applied without the values entered in the general New Mark-up Fields.
