Loading Branch Information onto the System
The Branch Directory can be found under the System Admin menu. Here, you can manage existing branch records as well as create new ones. 1link Hire Network also has the provision for you to import your branch information.
Branch information will be available to Scheme Operators when placing a hire request so they may locate the most suitable branch for the details entered. You can download a list of all current branches held in 1link Hire Network using the Download option after performing a search.
Most of the information needed in a branch record is self-explanatory, such as the branch name, code and contact details. You should use the Lookup Address function for branch location to ensure that the address is accurate. If the postcode is not recognised as a UK postcode, the branch will be treated as an International branch and only be available for International Quote Requests.
The Active Branch tick-box makes the branch available in the Branch Directory for selection in a booking request by a Scheme Operator. Un-ticking this marks the branch as deleted, and not available for any new hire requests.
The Interface Code field can be used if the branch needs to be identified using a different code on any interface you may wish to use between 1link and your own reservation system. You can also select the Electronic Interface tick-box if you wish to receive any bookings sent to this branch via an interface. If this is un-ticked, booking requests will appear in the 1link mailbox.
Greeting Location states where the check-in desk for the branch is. Typically, this would be the terminal number at an airport where drivers should report to on arrival.
Country, Region/State and Airport Codes are only applicable for International Branches. They are used to filter the list of branches presented when responding to Quote Requests.
Setting a branch as Premium Location means that any premium location fee loaded onto a customer’s tariff will be charged for bookings using the branch. You need to set at least one vehicle type as available for bookings, otherwise the branch will be invisible in supplier selection.
Delivery & Collection Allowed and Walk-In Allowed enable the branch to offer bookings needing these services, and the Airport Location flag allows the branch to be selected when the booking is for an airport location.
If a Driver Pickup and Drop-off service is provided, this can also be set using the setting on the branch record.
Please ensure your opening hours and any holiday periods for each branch are recorded correctly. When you have completed all details for the branch, save the record. If you simply select Home, for example, any changes made will be lost.
