Creating a Fines Claim

Within the Fine Administration section, click Add. You will be presented with the Fine Event screen.

Under Fine Details, select the Registration Number the fine has been issued against, as well as the Fine Type. Next, fill out the Issue Date, Penalty Reference, Incident Date and Time, as well as your own Supplier Fine Reference. Finally, add the Incident Location and Issuing Authority. If liability is to be transferred, you can select this option and add the Liability Owner.

 

Supporting Documents

You can upload a PDF or ZIP Fine Document and add any applicable notes. A further Additional Document can also be added to the fine claim. Attachments must be in PDF or ZIP format and be no larger than 12Mb.

 

Raise Invoice

Here, you can input all the relevant details to create your fine invoice. There is a pre-populated Fine(s) charge line to add the total cost to. The final section of the page requires you to confirm your V.A.T number held is correct, using the check box provided. The Invoice total and suggested V.A.T are provided by the system. Manually enter the Actual V.A.T to be charged and the Gross Value in the fields provided. Once happy with these details, click Create Invoice to send the Fine Claim to the Scheme Operator. There is validation to notify if any required details are missing.

Submitted fine invoices can be viewed in the Invoice History section of a hire reservation screen, where you can also see the status of a fine. The Scheme Operator will either accept the fine claim or reject this back to you for further review.
