How to set up your Service Centre on 1link Service Network

*Please note – not all users will have access to set up the Service Centre on 1link, only the system manager user will be able to do this.
Setting up a tariff
You will need to set up a rate card and Service Level Agreements (SLA’s) – known as a tariff – within the tariff management area of the system. 1link does not broker or negotiate with the Scheme Operators regarding your rates. It is your responsibility to negotiate your trading agreements and relationships with each Scheme Operator that uses 1link. Once you have an agreement, the Scheme Operators will create a relationship record for your site where they enter the expected labour rate, parts discount, invoice commission and a preference setting.
From the service centre homepage, select tariff management. You first need to set up the tariff records and then assign them to the relevant Scheme Operators.
Select tariff records and then add a new tariff. Enter a tariff name, select if it is for fleet or retail bookings and begin populating the tariff record.
- The automatic booking acceptance fields are to set your booking lead times for different types of bookings. Please choose accurate lead times.
- Inclusive services appear when Scheme Operators are selecting a garage for a new booking, so it’s a great place to enter any additional services you offer.
- Any tyre fees entered here would be added to tyre line items you add to a jobsheet.
- The labour rate and parts discounts are your rates and discount to the Scheme Operator. When a Scheme Operator is creating a booking, they can see your advertised rates before sending a booking. If you have a relationship with the Scheme Operator, they will also have a stored labour rate and parts discount.
- Lube and fluid prices can be added to save you from entering the cost every time you add this fluid onto a jobsheet. The option to add pricing for lube and fluid is only available after saving the overall tariff record.
- MOT test costs will default to the standard prices. A custom price can be entered.
Once completed select save this tariff. All saved tariffs can be viewed from the tariff records page.
The Scheme Operators manage a set of automatic authorisation rules which allow jobsheets to be automatically approved when all of the costs are as expected, so the accuracy of the rates entered into your tariff can improve your chances of receiving automatic authorisation approval when building jobsheets.
Assigning a tariff
You now need to assign this tariff to the Scheme Operators it applies to. From the tariff management menu, select assigning a tariff.
- If you select your tariff as the fleet standard pricing, this will apply to all the Scheme Operators showing as use standard tariff in the list below.
- Each Scheme Operator is listed as both fleet and retail so you can set separate rates for both fleet and retail bookings.
- If you have a relationship with any of the Scheme Operators, you can create a bespoke tariff and assign it to them only. The Scheme Operators only see the rates from the tariff assigned to them.
Once you have assigned the tariffs, select save changes.
Once you have completed your tariffs, you can move on to the second part of the setup.
Service Centre information
From the home screen select service centre information. This page includes all the details for your location and settings for what your site can offer.
- You can edit your site name, set a main contact from the existing service centre users, and update your phone number and location.
- Ensure your postcode is the last line of the address as 1link uses this to calculate driving distances for bookings.
- The booking request email field will allow 1link to send you notifications when a booking is received. You can enter multiple email addresses separated by a semi-colon.
- The repair types offered and additional services are all tick boxes, if you leave one of these fields blank you will not receive any bookings requesting those services.
- Enter a collection and delivery radius and booking lead time. Your tariff supersedes the lead time entered here.
- Finally, you can set your opening hours and any holidays.
Directory entries
At the foot of the page, you can see the list of directory entries you subscribe to and view these directory entries, by selecting directory entry, to see how you appear to the Scheme Operators when they are selecting a site for a new booking. This is a combination of both the tariff record information and the service centre information.
Click service centre information to go back to the details page and then select save changes.
Go to the mailbox, you will be able to activate your site directory from the mailbox message called Service Centre Activation. This only has to be done once. Open the message and click on activate dealer directory.
Once you have completed these pages you are ready to start transacting.
Please note that all this information should be regularly maintained: lead times, tariff prices and services you offer should be checked and updated to make the booking, jobsheet and invoicing journeys as efficient as possible for all users.
