Creating a jobsheet

Jobsheets should be created, and authorisation should be obtained before you undertake any work on a vehicle. 

 

Creating a jobsheet from a confirmed booking 

If you have a confirmed booking, it is always better to check in the booking as the reference number and any audit trail is retained in the same record. Creating a new jobsheet would mean it is not directly linked to the booking.  

If you have a confirmed booking, find it in your work bookings folder and select it. On the booking confirmation page, select check in. This option is only available on the day that the booking is confirmed for, so if the vehicle arrives at your site on a different day to which it was confirmed, you can reschedule the booking to today’s date to allow you to check it in. If the booking was confirmed for a date that has passed, the status changes to booking only and you need to create a new jobsheet separate from the booking. 

Once you select check in, you are taken to the check in page where you need to complete the estimated completion date and time, the odometer reading, and you can enter any internal job references that will show on the invoice. When you have completed these details, select confirm check in to take you to the jobsheet. 

 

Creating a walk in jobsheet 

The alternative way of creating a jobsheet is by selecting create a jobsheet from the options at the foot of the page.  

Enter the vehicle registration number and select search database to look for the vehicle. You will be alerted if there is an active booking for this vehicle and can click on the booking reference to be taken to the booking confirmation page. 

Select the vehicle registration to proceed and you will be directed to the check-in page to confirm the odometer reading and estimated completion time.  

Once you have created your jobsheet, it’s time to add the work you want to do to the vehicle as separate line items for each piece of work.
