Adding a service to a jobsheet

Running time: 3 minutes 42 seconds

Please note: Any costs added to a jobsheet should be excluding VAT

Select add line item and you will be presented with the different categories available, select service.

Searching for a service

There are several search criteria available to locate the service you are undertaking. The data behind every vehicle is provided either by the manufacturer or is automotive industry data which will be used to estimate the hours required for the work. Any times, prices or discounts populated on a jobsheet are only to make the process easier for you to build the jobsheet. If anything is incorrect, you can change it to reflect what you want to charge.

Once you’ve located the service you want to do, select it and you will be taken to the work details page.

Work details

Every line you add to a jobsheet requires a line item reason, which is a reason for the work. A service will default to routine.

Underneath the line item reason and VAT rate, there is the labour time.

Labour costs

The standard hours are, as mentioned, either from manufacturer-supplied data or from automotive industry data, if these hours are incorrect for what you want to charge, enter your request into the actual hours field. Please note that these changes will always be validated by the Scheme Operator. The labour hours are decimal, so half an hour is 0.5 hours. Please note for BMW, AW units can be entered instead.

The labour rate shows the Scheme Operator’s agreed labour rate. This is taken from the relationship record stored by the Scheme Operator. If this is incorrect, you can change it to the correct labour rate but be aware that this jobsheet will not be automatically approved by the Scheme Operator’s authorisation rules, as they are expecting something different. You may need to contact the Scheme Operator to confirm your labour rate to increase your chances of receiving automatic authorisation.

Once you have completed the labour cost, select save details.

Line summary

You are taken to the line summary, from here you can select edit work details to adjust the labour costs, add parts and add fluids to complete the total cost for the service.

Parts

You need to complete all the required information, quantity, part code, part description and unit price for each of the parts required. The parts discount, as with the labour rate, is taken from the Scheme Operator’s relationship record with you, so ensure this is as agreed. Select save items to return to the line summary.

Fluids

Finally, you need to add fluids. Select the fluid type then confirm the quantity and unit cost.

Select save items to return to the line summary and then select return to jobsheet.

You can see the line item on your jobsheet with the labour, parts and fluid values and a line total.
